Private Client Legal Assistant, Seaford
The Role:
The primary function of the role; to provide direct support to the Principal to enable the Principal to operate at optimum efficiency.
Key Responsibilities:
The main areas of responsibility within this role are:
To prepare correspondence and documents including audio-typing and word processing in accordance with Case Management systems as appropriate;
To administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained on the Intranet;
To prepare mail and enclosures for despatch;
To arrange for all copying to be done;
To make appointments, arrange meetings and to maintain an up-to-date diary for his/her Principal;
To prepare the Conference Room for meetings as necessary and for the tidying and clearance of the room at the end of the meeting;
To provide refreshments when asked to do so;
To provide support to other assistants as required;
To provide guidance to junior assistants and temporary secretaries when required to do so;
To attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care;
To undertake any specific training when required to do so and overall to have a responsibility towards self-development;
Other duties commensurate with the post as designated from time to time by the Partnership;
To secure the confidentiality and security of the firm’s client documentation and information
Qualifications & Experience:
Qualifications in Maths and English;
Able to use own initiative and take ownership of tasks;
Demonstrate a good level of ICT skills, particularly in the use of Microsoft Office;
Be highly organised with an ability to see tasks through to completion;
Good interpersonal skills with ability to communicate effectively with other team members as well as the public both face to face and over the telephone;
Possess excellent keyboard / word processing skills;
Good administrative experience.
